UCN Mail provides managed mail server infrastructure for your domain. This Privacy Policy explains how we collect, use, and protect information when you use our website and services.
We only collect what's necessary to run your mail service, bill your subscription, and keep your domain's mail delivering reliably.
UCN Mail will never sell, rent, or trade your personal information to third parties.
Information We Collect
Account, domain, and billing data needed to run the service.
To provide mail hosting for your domain, we collect account, domain configuration, and payment-related information.
- Email address (account creation & communication)
- Hashed password (never stored in plaintext)
- Connected domains and DNS records
- Payment token from processor (not raw card data)
- Subscription plan & billing period
Account Information
When you register, we collect your email address and a hashed password.
Domain & DNS Configuration
We store the domains you connect and the SPF, DKIM, and DMARC records we generate and verify on your behalf.
Payment Information
Payments are processed by our PCI-compliant processor, Stripe. We never store your full card number or CVV on our servers.
Mail Data & Processing
How email passing through your mailboxes is handled.
As a mail server operator, UCN Mail necessarily processes email traffic (headers, envelopes, and message bodies) in order to route, filter, and deliver mail for your domain — this is fundamentally different from a service that promises not to touch your traffic.
We do not read, scan, or analyse the content of your mailboxes for advertising or profiling purposes. Automated spam and threat filtering runs against message metadata and content solely to protect deliverability and security.
- Mail is stored on your mailboxes until you delete it or your retention policy removes it
- Delivery logs (sender, recipient, timestamp, status) are kept for troubleshooting deliverability
- Staff do not access mailbox content except to resolve a support request you file
Data Sharing
We don't sell or share your data.
We do not sell, rent, or trade your personal information. We may share limited data only in the following circumstances:
- Service providers: trusted vendors (e.g. payment processor, DNS/email delivery infrastructure) contractually bound to handle data securely.
- Legal obligations: if compelled by a valid court order.
- Business transfers: in the event of a merger or acquisition, under the same privacy commitments.
Your Rights
You are in control of your data.
Depending on your jurisdiction (GDPR, CCPA, etc.) you have the following rights:
- Access: request a copy of the personal data we hold about you.
- Rectification: correct inaccurate data.
- Erasure: request deletion of your account, domains, and mailbox data.
- Portability: export your mail via standard IMAP.
